Ep #73 The 4 Systems Your Business Needs

Systems can feel very overwhelming. Which is why most business owners don’t spend time on creating them.

When we do create systems, we often tend to make them super complicated and they end up in a 500 page manual that everyone avoids like the plague.

When systems are bypassed or not used at all then they serve no purpose.

You want to free up time from your business and organize it in a way that allows it to run smoothly even if you’re not there and your systems is the things that support the business to do that.

Most mom entrepreneurs cannot unplug from their business for even a day, never mind a week or a month.

Maybe your eyes are already glazing over but before your brain switches off completely I am going to share the four simple systems you need in your business to create the foundation for a business that can run itself.

I am also going to share a very exciting opportunity for you at the end that you don’t want to miss out on! So stay with me.

When I say talk about a business that can run itself, I am referring to a business that supports you so that you are able let go of the rains a little. 

I get that you might want to work in your business because you love it and perhaps you don’t have a vision for building a big team or scaling into the millions.

However, you will never regret putting these systems in place because life can and will happen. Sometimes we get sick, our kids get sick, and I bet you also want to live your life. Which means that you don’t want to work 24/7 365, right?

I am going to share the four systems every service based business needs and in the following episodes I am going to break down each of these systems and give you some examples of how you can get started with them in a non-overwhelming way in your business.

So what is a system?

A system in its simplest form is a set of things (elements) working together to form a whole.

These elements are all working together towards a common purpose. 

It is important that your system or systems have a purpose. They all need to move the business forward towards the strategic objectives and goals. If it doesn’t…you don’t need it.

Before we jump into the systems…I want you to check in with yourself first.

Have you ever really considered what it would look like if you had a business that supported you?

It’s really important to answer that for yourself because everything you do in your business, every system and process you create, will be guided by what you want your business to look like.

How many hours do you want to spend in your business?

Where do you see your business in 3, 5, 10 years from now and what is your involvement at each of those stages?

When we know what the bigger picture is, we can use that as goal posts and guidelines for the systems we create.

Some of you might be thinking: “I would never be able to step away from my business.” 

I want to share a quick story with you that I read about the other day in the book Clockwork.

A sought after, seventeenth century German artist, named Peter Lely, was in demand for his portrait work. He became the principle artist for the royal family after moving to London. Peter was best known for a series of portraits called the Windsor Beauties. Which hung in the Windsor castle. 

You would think that it’s impossible to create a business that can free up some time for Peter because, he is the artist! He needs to DO the work. 

Peter was creative and smart and understood that he could do way more if he worked smarter as well. He opened a workshop and started training painters to help him with the paintings. They would paint the entire painting and he would just paint the face.

This meant that Peter could focus on his zone of genius, the thing that made him the best (painting faces) and in the process, no one could compete with him. Where other artists did maybe one painting a month, Peter could do 100.

There are many ways to create space in your business to work less so you can live more. It really just depends on whether you want a business that can run like that.

Let’s dig into the four systems every service-based mom entrepreneur needs:

The first system you need is an Attraction System or what some like to call a visibility system.

Your attraction system is WHO you want to attract to your business and HOW you do that.

A great place to start is how you are currently attracting people into your business. How do people find you? How do you get onto their radar?

This podcast is part of my attraction system as an example. People find it, they come and listen, and if they like what I share and believe I can help them they will move to the second system you need in your business.

The second system you need in your service-based business is a Conversion System

Which is basically WHAT you sell and HOW you sell it. This is the system for taking the people who are now in your world and turning them into a paying customer or client.

Once they are a customer, you move into the third system, the Delivery System.

This is where your customer experiences what you promised to deliver to them. It also includes any backend administrative tasks that make delivery of your service(s) happen.

The fourth system you need is your Cash System.

This is the system for collecting and managing your money.

Every single process you have in your business will fit into one of these systems. 

It’s important to note that unless you are starting a new business, you probably already have these systems in your business. 

They might just not be documented or clearly defined. Which means they are mostly in your head and unless you tell someone what to do and how to do it, you will always be the one doing it.

The goal of a system is two fold:

It allows you to work on higher level tasks and instead of doing everything in the business it creates space for you to work ON the business and even step away from the business when you want and need to.

Secondly, it creates a consistent experience for anyone who interacts with your business at the various levels of the customer journey. Which gives people a lot of certainty that they are safe with you and that the needs they have will be taken care of.
